How to Rent a Hologram Avatar for an Event in Dubai, Step by Step

Step 1: Decide what the avatar needs to do

Before anything else, settle on the job: greeting guests at an entrance, answering product questions on a stand, taking orders, or capturing leads. This single decision drives almost everything downstream — the script, the machine, and how long you'll need it for. It doesn't need to be a finished brief; a rough sense of the role is enough to get the rest of this process moving.

Step 2: Choose your machine

faceOS offers three machines: a 7-foot holobox for life-size presence at entrances and stages, a 21-inch holobox for counters and booths, and a 2D tabletop for registration desks and smaller spaces. If you're not sure which fits your venue, our guide to holobox vs 2D screen walks through the trade-offs, or you can simply tell us about your space when you enquire.

Step 3: Tell us your dates and venue

This is where timing matters. Book at least 7 days ahead for a standard, ready-made avatar, and 2 to 3 weeks ahead if you want a custom avatar built around a specific look, voice or character. We currently deliver across Dubai and the rest of the UAE, with GCC delivery available on request, subject to logistics.

Step 4: We design your avatar

Once your machine and dates are confirmed, we build the avatar itself: her look, her voice, her script and the languages she'll speak — Arabic and English as standard, others on request. This is also where we train her on your event's specific information, so she can answer real questions about your products, schedule or stand rather than giving generic answers. You can see what she's capable of on our software page, or book a live demo to get a feel for it.

Step 5: Delivery, setup, and the event itself

On the day, we deliver and set up the machine, and support is available on-site during your event. Delivery, setup and on-site staff are quoted and charged separately from the daily rental rate, so your quote will always show these as their own line items rather than folded into the headline price. Pricing for the rental itself starts from AED 3,500 per day including the avatar; final cost depends on the machine, the avatar type and the number of days.

One detail worth planning around: handoff to a real staff member — where the avatar can call someone over or book a meeting — isn't available on 1 to 2 day event rentals. If that's part of what you need, it's worth checking it fits your event length before you book.

What this looks like end to end

In practice, you can expect to move from first enquiry to a confirmed quote within a day or two, then into avatar design while delivery is scheduled around your event dates. The two things that most often cause delay are late machine decisions and custom avatar requests booked inside the 2-to-3-week window — both avoidable by starting the conversation early.

A note on coverage and scale

This process is the same whether you're renting one 21-inch holobox for a single-day pop-up in Dubai or several 7-foot holoboxes across a multi-day exhibition. We currently deliver across Dubai and the rest of the UAE as standard, and can deliver into other GCC countries on request, subject to logistics availability — worth flagging early in your enquiry if your event isn't in the UAE.

When this isn't quite the right fit

If what you actually need is a permanent fixture rather than a one-off event — a hotel lobby, a bank branch, a sales office that runs for months rather than days — renting by the day usually isn't the most efficient structure. In that case, buying the machine with a monthly avatar subscription, or renting long-term with the same subscription, tends to work out better; see the pricing page for how that compares to a straight event rental. It's a question worth raising early in your enquiry if you're not sure which structure fits, since the answer changes how we quote the whole booking.
