AI Avatars at Exhibitions and Trade Shows

The problem with most exhibition stands

A trade show floor is loud, crowded and full of stands competing for the same few seconds of attention. A looped video on a screen blends into the background after the first lap of the hall. What stops people is something that notices them back, rather than something that simply plays regardless of who's in front of it.

Before the show: scripting and training

A faceOS avatar is trained ahead of time on your actual information: your products, prices, stand layout and FAQs, so she can hold a real conversation rather than reciting a script on a timer. That training happens during setup, on our software, and the level of customisation you choose affects cost, so it's worth deciding early what you want her to handle versus what you'll keep for staff.

On the stand: which machine earns its space

For stopping foot traffic from across a hall, the 7-foot holobox is usually the better choice — it's built for exactly that, giving a life-size presence that's visible well before someone reaches your stand. A smaller 21-inch holobox suits a counter position within the stand itself, once someone has already stopped. Many stands use both: one to draw attention, one to hold the conversation at the counter.

During the show: what she's actually doing

Once someone engages, the avatar sees that they're ready to talk rather than just passing by, listens even over hall noise and lets them interrupt, answers in Arabic and English, and shows the relevant brochure, price list or floor plan while she talks. At the end of the exchange, she can capture the visitor's details as a lead — which, on a trade show stand, is usually the entire point of being there.

After the show: one thing to plan around

If part of your plan is having the avatar call a staff member over for a qualified lead, or book a follow-up meeting on the spot, that handoff feature is available — but not on 1 to 2 day event rentals. Most trade shows run longer than that, but it's worth confirming your exact show length against this before you assume handoff is included.

Cost and timing for a show

Event rental starts from AED 3,500 per day including the avatar; delivery, setup and on-site staff are quoted and charged separately, and the final number depends on your machine, avatar type and number of days. Book at least 7 days ahead for a standard avatar, and 2 to 3 weeks ahead if you want a custom one built specifically for the show. For multi-day exhibitions like the large tech and travel trade shows held across the UAE each year, booking on the earlier end of that window gives us time to get the avatar properly trained before doors open.

Picking between a stand presence and a desk presence

If your stand is really more of a counter than a stage, our comparison of the holobox vs 2D screen options is worth reading before you commit to a machine.

A practical note on repeat shows

Many exhibitors return to the same trade shows year after year, often with a similar stand layout. If that's your situation, mention it when you enquire: the content and training from a previous show can often be reused or adapted rather than built from scratch, which tends to make the design conversation faster even though the same 7-day or 2-to-3-week booking windows still apply.

Staffing the stand around the avatar

An avatar on a stand doesn't remove the need for staff entirely; it changes what they spend their time on. Instead of repeating the same opening lines to every passer-by, your team is freed up for the conversations that actually need a person — a serious buyer, a detailed technical question, a negotiation. The avatar handles the volume; your staff handle the depth. Over a multi-day exhibition, that difference compounds: fewer staff needed just to greet, more capacity for the meetings that actually close deals.
